OVERVIEW
Laxis.Inc is software development startup and building the AI Meeting assistant
I'm working at Laxis as the Product Designer. I'm leading the design of the product that helps users manage their meetings more efficiently. As the sole designer, I handle everything from product, interaction to visual design.
Why this project?
Laxis is a Product led growth and SaaS company, the most important user experience is the onboarding.
MY WORK PROCESS
Laxis previously lacked user onboarding flows, directing users to the home dashboard after signing up.
I began by identifying what information in the onboarding process could help first-time users find value and answer their questions. I conducted a competitive analysis to stay updated with industry trends and learn from competitors.
Collaborating with the product manager, we decided on the design strategy and presented wireframes to the team. I then designed high-fidelity screens in Figma, enhancing the onboarding experience to be more cheerful.
This experience covers web application, mobile app, mobile website and Laxis Chrome extension, with screens designed for different laptop resolutions such as tablet to ensure responsiveness.
DESIGN IMPACT
A significant improvement in the product's UI impression.
Increased the conversion rate of users opting in for the free trial.
Increased the user retention rate through the quick setup of integrations in the onboarding experience.
Helped the company gather more user information, including details such as their companies, industries, and preferences.

Onboarding flows
THE PROBLEM
How can we help users learn the product quickly, find its value, and convert from a free plan to a free trial?
CONTEXT
The onboarding flows should be short, so we need to ensure that each step is necessary and serves both the users and the business goals.
Understanding the problem
What are the main problems users face that we can solve during onboarding?
After reviewing customer feedback, I identified the following frequent difficulties:

Integration of the video platform with Laxis

Uncertainty about whether spoken language can be recognized by Laxis

Concerns about the bot joining their online meetings
Competitor Analysis
I researched 3 competitor products: Otter.ai, tl;dv, Fathom.
Otter.ai
Otter’s onboarding starts by letting users choose how they want their meetings recorded and set up their preferences. Next, users ’ll be prompted to connect their calendars. The final step introduces integrations, where visual guides show users how to use Otter seamlessly. These graphics are there to help users get the most out of the product, even after onboarding.
Pros: The visuals give a clear picture of what using the product will be like, helping users understand its value right from the start.
Cons: The option to sync with the calendar and integrate with other communication tools may not be appealing to first-time users.

The onboarding starts with gathering key details like users' roles and preferred languages. From there, users are guided through an interactive demo and an online video meeting simulator. After the demo, users can test the application across different video apps. Several "Getting Started" videos are featured prominently on the main page.
Pros: The onboarding process uses simple visuals to collect user information and cleverly includes a video call simulator. This immersive approach helps users get into the mindset of using the product, boosting both understanding and engagement.
Cons: The high cost of bringing in a live representative to record a tour is a challenge, especially when trying to cater to different preferences.

Fathom
During the setup, users are asked a few questions about their job function, role, CRM usage, and recording preferences. After this initial interaction, there's not much that hints at what their future experience with the product will be like.
Pros: It's easy to implement and has a clean UI.
Cons: Positioning CRM integration and calendar sync as paid features limits their value, especially if there's no clear reference to them later on.

WIREFRAMES
Synthesizing the information above, I mapped out the onboarding flows with wireframes.
Request users' roles and company information - sync with their calendar to increase engagement- allow them to choose their preferred meeting platform - provide bot settings to opt out of having the meeting summary shared by default if they prefer
These wireframes enhanced communication between the PM and me. After a focused discussion, we decided to implement the following changes:
- Collect additional information in the first step.
- Display the meeting platforms first and add 'in-person' as a meeting option.
- Based on the user's response, direct them to either sync with their calendar or download the mobile app.
